EVENT ENTRY TERMS

These Event Entry Terms (“Terms”) apply to all entries into TENTH FIELD CIRCUIT 2026.
Please read these Terms carefully before purchasing an entry. They contain important information about eligibility, payments, cancellations, Event changes, participant responsibilities and liability.
Important Booking Information
The Event is open only to participants aged 18 or over on Event day.
The Event is a leisure activity taking place on a specific date. The usual 14-day online cancellation period does not apply.
If a participant cancels, cannot attend or fails to attend, there is normally no automatic right to a refund or deferral.
Individual entries cannot be transferred to another person.
Relay substitutions require the Organiser’s prior written approval.
The course, timetable, race format and start times may be changed where reasonably necessary for safety or operational reasons.
These Terms do not affect a participant’s statutory consumer rights.
1. The Organiser
1.1 TENTH FIELD CIRCUIT 2026 (“Event”) is organised by:

TENTH ATHLETIC LIMITED is referred to in these Terms as “TENTH”, “the Organiser”, “we”, “us” or “our”.
1.2 The Event is scheduled to take place on Saturday, 24 October 2026 at Lee Valley VeloPark in East London.
1.3 Participant registration and payment will be processed through the Let’s Do This platform. Let’s Do This has its own platform terms and privacy policy. These Terms govern the relationship between each participant and TENTH ATHLETIC LIMITED in relation to the Event.
2. Formation of the Contract
2.1 An application or incomplete checkout does not guarantee an Event place.
2.2 A binding contract is formed when:
the required registration information has been submitted;
payment has been successfully completed; and
a booking confirmation has been issued.
2.3 The person completing a booking must provide accurate and complete information.
2.4 Where one person purchases entries for other people, the purchaser must ensure that every participant receives these Terms. Each participant must personally complete any required participant declaration before taking part.
2.5 The booking confirmation, these Terms, the published Event Rules and essential race instructions together form the agreement between the participant and the Organiser.
2.6 If there is a conflict, these Event Entry Terms will take priority for the contractual relationship between the participant and the Organiser, except where applicable law requires otherwise.
3. Eligibility
3.1 Every participant must be at least 18 years old on 24 October 2026.
3.2 The Organiser may require photographic identification during registration or Event check-in.
3.3 A participant who does not satisfy the eligibility requirements may be refused entry or removed from the Event.
3.4 Participants must register using their own identity. Entries obtained using false, misleading or incomplete information may be cancelled.
3.5 Participation is subject to any additional eligibility, qualification or safety requirements published for the relevant race format.
3.6 Participants requiring reasonable adjustments should contact info@tenthathletic.com as early as possible. The Organiser will consider reasonable requests, taking account of safety, venue restrictions and the essential nature of the competition.
4. Race Formats
4.1 TENTH FIELD CIRCUIT consists of two separately registered and ranked competitions.
Individual Field
Individual Field is a solo competition. Its stages, qualification system, Grid TT arrangements and Final qualification criteria will be described in the published Event Rules.
Purchasing an Individual Field entry does not guarantee progression to any later stage or the Final.
Community Field Relay
Community Field Relay is a six-person team competition with its own timing, rankings and podium.
Relay results do not affect Individual Field qualification, rankings or grid positions.
4.2 Each relay member must:
be at least 18 years old;
be correctly registered;
accept these Terms and any participant declaration;
comply with the Event Rules; and
participate only under their assigned identity and timing record.
4.3 The team captain is responsible for providing accurate team information and ensuring that all team members complete their registration requirements by the stated deadline.
4.4 An incomplete or ineligible relay team may be prevented from starting or may be removed from the official results.
4.5 A participant may compete only in the race format stated in their booking confirmation, unless the Organiser gives prior written approval to participate in both formats.
5. Entry Fees and Inclusions
5.1 The Individual Field entry fee is:
£25 per participant
5.2 The Community Field Relay entry fee will be displayed clearly on the Let’s Do This booking page before payment.
5.3 All mandatory platform, booking or transaction charges will be displayed before payment. Prices are inclusive of VAT where applicable.
5.4 Unless the booking page expressly states otherwise, an Event entry includes:
registration in the selected race format;
an official race number or bib;
RFID timing where used for the relevant race;
publication of eligible race results;
access to the designated course and competition areas;
route, start and finish management;
reasonable race-day safety and participant support;
access to the designated Field Base participant services; and
essential pre-event and race-day communications.
5.5 Entry fees do not include travel, accommodation, parking, personal insurance, food, merchandise or any other item not expressly included on the booking page.
5.6 The entry fee is payment for participation in the Event. It is not a charitable donation.
5.7 Any voluntary charity donation offered during registration will be separately identified and will be subject to the applicable charity and payment-platform terms.
6. Participant Cancellation, Refunds, Deferrals and Transfers
6.1 The Event is a leisure activity scheduled for a specific date. Participants do not have the usual statutory 14-day cancellation right that applies to many online purchases.
6.2 If a participant cancels, cannot attend or fails to attend, the entry fee is normally non-refundable. This includes cancellation or absence resulting from:
a change of mind;
illness or injury;
work or family commitments;
travel disruption;
failure to obtain transport, accommodation or travel documents;
failure to complete training;
arriving after the required check-in or start time; or
adverse weather where the Event continues to operate.
6.3 The Organiser will not retain more of a participant’s payment than it is lawfully entitled to retain. Nothing in this section affects any refund or remedy required by applicable consumer law.
6.4 Entries cannot automatically be deferred to a future TENTH event.
6.5 Individual Field entries are personal and cannot be sold, transferred or assigned to another person.
6.6 Relay member substitutions are not automatic. A substitution may be considered only where:
the request is submitted before the published substitution deadline;
the Organiser gives written approval;
the replacement participant satisfies all eligibility requirements; and
any reasonable administration charge displayed in advance is paid.
6.7 The Organiser may refuse a substitution where it would affect safety, timing, qualification, fairness or Event administration.
6.8 Any unauthorised use, resale, copying or transfer of a race number, timing chip or entry may result in cancellation or disqualification without a refund.
6.9 If optional Refund Protection is offered through Let’s Do This and purchased by a participant, any claim must be made directly under the protection provider’s separate terms. Purchasing Refund Protection does not change these Terms.
6.10 Any refund approved by the Organiser or required by law will normally be returned through Let’s Do This to the original payment method. Processing times are controlled partly by the payment provider.
7. Changes to the Event
7.1 The Organiser may make reasonable changes to the Event where necessary for safety, weather, venue requirements, transport arrangements, participant welfare, regulatory requirements or operational delivery.
7.2 Changes may include:
course or route adjustments;
changes to the number or length of laps;
revised start, check-in or wave times;
changes to qualification or Final arrangements;
changes to the location of Event facilities;
capacity restrictions;
changes to mandatory equipment; or
replacement of suppliers, services or Event partners.
7.3 Minor or reasonable operational changes do not automatically entitle a participant to a refund.
7.4 The Organiser will communicate significant changes as soon as reasonably practicable using the email address supplied during registration and, where appropriate, through the Event website or Let’s Do This.
7.5 If the Event date, location or essential character is changed materially, the Organiser will provide a fair and reasonable remedy. Depending on the circumstances, this may include:
accepting the revised arrangements;
transferring the entry to the rescheduled Event; or
requesting a refund within a stated period.
7.6 Nothing in this section permits the Organiser to make changes that would remove or restrict a participant’s statutory rights.
8. Cancellation, Postponement or Abandonment by the Organiser
8.1 The Organiser may postpone, cancel, suspend or abandon the Event where reasonably necessary because of circumstances including:
severe or unsafe weather;
fire, flood or another natural event;
venue closure or loss of required access;
instructions from the police, emergency services, local authority or another competent authority;
a serious safety or medical incident;
transport disruption materially affecting safe delivery;
national mourning, civil emergency or security threat;
an outbreak of communicable disease;
failure of essential infrastructure; or
another circumstance outside the Organiser’s reasonable control.
8.2 If the Organiser cancels the Event before it starts and does not offer a replacement date, participants will receive a refund of the race entry fee and any mandatory booking charge paid as a condition of entry, except where a different remedy is agreed with the participant or applicable law permits otherwise.
8.3 Optional charitable donations will not normally be refunded once transferred to the charity. Unfulfilled merchandise or optional add-ons will be handled according to the applicable purchase terms and consumer law.
8.4 If the Event is postponed, participants will be offered a place on the rescheduled date. Participants who cannot attend the replacement date will be given a reasonable opportunity to request a refund, subject to the instructions and deadline included in the postponement notice.
8.5 If the Event starts but is subsequently stopped or abandoned for safety reasons, the Organiser will consider the services already provided, the reason for abandonment and applicable consumer law when determining whether a full refund, partial refund, credit or another remedy is appropriate.
8.6 Except where applicable law provides otherwise, the Organiser is not responsible for travel, accommodation or other personal costs incurred in connection with a cancellation, postponement or change.
8.7 Participants should consider obtaining appropriate travel or event-cancellation insurance for separately booked expenses.
9. Check-in, Timetable and Start Times
9.1 Participants must attend registration and check-in at the specific time communicated in their race instructions. The overall public Event opening time is not necessarily the required participant arrival time.
9.2 Participants are responsible for reading all pre-event communications and checking for timetable updates.
9.3 A participant who misses registration, a safety briefing, a call time or a start may be refused permission to participate.
9.4 The Organiser may use separate arrival times, waves, holding areas or start groups to manage safety and capacity.
9.5 Race numbers and timing chips must be worn or carried as instructed and must not be altered, exchanged or reproduced.
10. Health and Medical Fitness
10.1 Running on a mixed-surface course is physically demanding and involves inherent risks, including falls, collisions, fatigue, dehydration, changing weather and uneven ground.
10.2 Each participant is responsible for deciding whether they are sufficiently fit, trained and medically able to participate.
10.3 Participants should obtain medical advice before entering if they:
have a medical condition;
are recovering from illness or injury;
are taking medication that may affect participation;
have experienced chest pain, fainting or unexplained shortness of breath; or
are uncertain whether participation is appropriate.
10.4 Participants must provide accurate emergency-contact, medical and accessibility information where requested.
10.5 Providing medical information does not mean that the Organiser has certified the participant as fit to compete.
10.6 The Organiser, venue staff or medical personnel may prevent a participant from starting or require them to stop where they reasonably believe continued participation may endanger that person or others.
10.7 In an emergency, the Organiser may contact emergency services and share relevant information where reasonably necessary to protect life or safety.
10.8 A participant who withdraws or is removed for medical or safety reasons does not automatically become entitled to a refund. Statutory rights and any separately purchased Refund Protection remain unaffected.
11. Equipment
11.1 Participants must wear suitable clothing and footwear for the course and expected conditions.
11.2 The Organiser may publish a mandatory or recommended equipment list before the Event.
11.3 Participants may be refused permission to start or continue if required equipment is missing or unsafe.
11.4 Participants must not use equipment that:
creates a risk to other people;
interferes with race timing or Event operations;
is prohibited by the Event Rules or venue; or
gives an unfair competitive advantage.
11.5 Dogs, bicycles, scooters and unauthorised wheeled equipment are not permitted on the active race course.
11.6 Assistance-dog access outside the active course will be managed in accordance with the venue’s access arrangements and applicable law.
11.7 Drones may not be operated at the Event without the Organiser’s and venue’s prior written approval.
12. Safety Instructions and Participant Conduct
12.1 Participants must follow all reasonable instructions issued by the Organiser, race officials, marshals, venue personnel, medical staff, security staff and emergency services.
12.2 Participants must:
remain on the marked course;
respect other participants, spectators, staff and local residents;
behave safely and responsibly;
stop and provide reasonable assistance where instructed;
dispose of waste appropriately;
avoid damaging the venue, course or surrounding environment; and
report serious hazards or incidents where reasonably possible.
12.3 The following conduct may result in refusal of entry, removal or disqualification:
cheating or course cutting;
competing under another person’s identity;
tampering with timing equipment;
abusive, threatening, discriminatory or harassing behaviour;
deliberately obstructing another participant;
ignoring a safety or medical instruction;
participating while seriously impaired by alcohol or drugs;
use of prohibited performance-enhancing substances;
damaging property; or
conduct likely to bring the Event, venue or its partners into serious disrepute.
12.4 Where disqualification results from the participant’s misconduct or breach of these Terms, the participant will not normally receive a refund.
13. Timing, Results and Qualification
13.1 Official timing may be recorded using RFID or another timing system selected by the Organiser.
13.2 Participants are responsible for wearing or carrying timing equipment correctly and passing all required timing points.
13.3 Results published immediately after a race are provisional and may be corrected following timing checks, penalties, protests or technical review.
13.4 Electronic timing systems can occasionally fail. The Organiser may use manual records, video, marshal reports or other reasonable evidence when reviewing a result.
13.5 The Organiser does not guarantee that every participant will receive an individual electronic finishing time where a failure is caused by incorrect use of the timing equipment or circumstances outside the Organiser’s reasonable control.
13.6 Qualification for later stages or the Individual Field Final will be determined in accordance with the published Event Rules.
13.7 Relay timing, rankings and podiums are separate from Individual Field results.
13.8 The Organiser may correct results or disqualify a participant after the Event where reliable evidence shows that the Event Rules were breached.
13.9 A participant wishing to question a result must contact the race officials within the protest period stated in the Event Rules.
14. Photography and Filming
14.1 Official photographers, videographers, broadcasters and members of the media may operate at the Event.
14.2 Photographs, video and audio recordings may include participants and may be used for:
Event reporting;
Event results and editorial coverage;
TENTH Athletic and TENTH FIELD CIRCUIT communications;
promotion of current and future editions of the Event; and
approved communications involving Event partners.
14.3 Images and recordings will be handled in accordance with the Event Privacy Notice and applicable data-protection law.
14.4 Participants with a particular safety, privacy or safeguarding concern should contact info@tenthathletic.com before the Event. The Organiser will consider reasonable measures but cannot guarantee exclusion from incidental crowd or background images.
14.5 This section does not transfer ownership of a participant’s personal photographs or social-media content to the Organiser.
15. Personal Data
15.1 Personal information will be processed in accordance with the TENTH FIELD CIRCUIT Privacy Notice:

15.2 Let’s Do This will also process information in accordance with its own privacy policy.
15.3 Participant information may be shared where reasonably necessary with providers involved in registration, payment, timing, Event communications, medical provision, safety, photography and Event delivery.
15.4 Medical, accessibility and injury information may constitute special-category personal data. Where legally required, an appropriate lawful basis and Article 9 condition will be identified, and any required explicit consent will be obtained separately.
15.5 Acceptance of these Terms does not constitute consent to receive marketing. Any marketing choice must be requested separately.
16. Liability
16.1 Nothing in these Terms excludes or limits liability for:
death or personal injury caused by the Organiser’s negligence;
fraud or fraudulent misrepresentation;
deliberate misconduct; or
any other liability that cannot legally be excluded or limited.
16.2 The Organiser is responsible for loss or damage that is a foreseeable result of its breach of these Terms or failure to use reasonable care and skill.
16.3 The Organiser is not responsible for loss or damage that:
was not reasonably foreseeable;
resulted from the participant’s own act, omission or breach of these Terms;
resulted from an inherent risk of the activity that could not reasonably have been eliminated;
relates to business or commercial activity; or
is excluded or limited by law.
16.4 Participants remain responsible for their personal possessions. The Organiser is not responsible for loss, theft or damage unless caused by its negligence or another legal breach.
16.5 Participation in the Event involves inherent physical risks. A participant’s acknowledgement of those risks does not remove the Organiser’s duty to take reasonable care.
16.6 Nothing in these Terms affects rights provided by the Consumer Rights Act 2015 or other applicable consumer law.
17. Complaints
17.1 Questions or complaints should be submitted by email:

17.2 Please include:
the participant’s full name;
booking reference;
race format;
details of the issue; and
the outcome requested.
17.3 Complaints should be submitted promptly and, where practicable, within 14 days of the relevant incident or Event. This request does not remove any statutory limitation period or consumer right.
17.4 The Organiser will aim to acknowledge a complaint within five working days and provide a substantive response within 20 working days.
18. Governing Law and Jurisdiction
18.1 These Terms and any dispute arising from them are governed by the laws of England and Wales.
18.2 The courts of England and Wales will have jurisdiction, except that a consumer living elsewhere in the United Kingdom may be entitled to bring proceedings in the courts of the part of the United Kingdom where they live.
18.3 Nothing in this section restricts any mandatory consumer protection available under applicable law.
19. General Provisions
19.1 If any provision of these Terms is found to be unlawful or unenforceable, the remaining provisions will continue to apply.
19.2 A delay by the Organiser in enforcing a provision does not waive its right to enforce that provision later.
19.3 No person other than the participant and the Organiser has the right to enforce these Terms under the Contracts (Rights of Third Parties) Act 1999.
19.4 The Organiser may update these Terms for future bookings. The version presented at the time of booking will normally apply to that booking, subject to reasonable safety or operational updates and changes required by law.
19.5 Any material update affecting an existing booking will be communicated clearly to the affected participant.
19.6 These Terms will be made available before payment and retained in a durable form through the participant’s booking confirmation or downloadable Event information.
